The LED Wall Company ("we", "us") rents LED video walls for events in Vancouver and the Lower Mainland. This policy explains what personal information we collect, why, who we share it with and the choices you have. We follow British Columbia's Personal Information Protection Act (PIPA).
The short version
- We collect what we need to quote, book and run your event, and little else.
- We never sell your personal information.
- Our website uses analytics and advertising tools (Google, Microsoft Clarity and Meta) to understand how the site is used and to measure our ads.
- You can ask to see, correct or delete what we hold about you by emailing hello@theledwallcompany.com.
What we collect
Information you give us
When you request a quote on our website, call, text or email us, we collect:
- your name, phone number, email address and whether you prefer a call or a text;
- your event details: type of event, dates, venue, indoor or outdoor, the wall size you have in mind and any notes you add;
- photos of your venue or content files you send us so we can plan the wall;
- if you book, the billing details we need to invoice you and take payment, and the names and numbers of any on-site contacts you give us.
Information collected automatically on our website
When you visit our website, the following tools collect information about your visit:
- Google Analytics records pages viewed, how you arrived (for example from a search or an ad), your approximate location, and your device and browser type.
- Microsoft Clarity records how visitors scroll, click and move through our pages, including session replays, so we can find what is confusing or broken. Clarity masks text typed into form fields by default.
- Meta Pixel and Google Ads tags tell us when a visit came from one of our ads and whether it led to a quote request, call or text, and may be used to show our ads to people who have visited our site. When you send a quote request, a hashed (scrambled, unreadable) copy of your email address and phone number is sent to Google so it can match the request to an ad you clicked. This is Google's enhanced conversions feature.
These tools use cookies and similar technologies. Our website host also keeps standard server logs (such as IP address, browser type and the pages requested) to keep the site running and secure.
At your event
We sometimes photograph or film our own LED walls at events for our portfolio and social media. If you would rather we didn't at your event, tell us when you book and we won't.
Why we use it
- to answer your enquiry and send you a quote;
- to plan, deliver, set up, run and take down your rental;
- to invoice you, take payment and keep the business records the law requires;
- to follow up about your quote or booking, and ask for feedback after your event;
- to understand how our website is used and improve it;
- to measure and improve our advertising;
- to protect our equipment, our team and our website from misuse or fraud.
We only use your information for these purposes or for others you agree to, or as the law permits or requires.
Consent
By sending us a quote request, calling, texting or emailing us, you consent to us using your information for the purposes above. You can withdraw your consent at any time by contacting us, subject to legal or contractual limits; for example, we can't run a booking without a way to reach you, and we must keep invoices for tax purposes. We won't send you marketing emails or texts unless you have agreed to receive them, and every marketing message will include a way to unsubscribe.
Who we share it with
We never sell or rent your personal information. We share it only with service providers who help us run the business, and only what they need to do that work:
- Google stores the quote requests sent from our website (Google Sheets) and provides Google Analytics and Google Ads.
- Microsoft provides Clarity website analytics.
- Meta provides the Meta Pixel for Facebook and Instagram advertising.
- Vercel hosts our website.
- Our email, phone, payment and accounting providers handle the messages and payments you send us.
We may also disclose information when the law requires it, or to a buyer if our business is sold, in which case the buyer must protect it as this policy describes.
Storage outside Canada
Several of these providers store or process information outside Canada, mainly in the United States. While it is there, it is subject to the laws of that country, and authorities there may be able to access it under their own laws. We choose providers with strong security and privacy commitments.
How long we keep it
We keep quote requests that don't turn into a booking for up to two years, so we can help if you come back to us. We keep booking and payment records for as long as Canadian tax law requires, currently six years. If we use your information to make a decision that affects you, we keep it for at least one year afterwards, as PIPA requires. After that, we delete it or make it anonymous. Website analytics data is kept according to each tool's retention settings.
How we protect it
We use reasonable safeguards to protect your information against unauthorized access, use or disclosure. These include limiting access to the people who need it, securing the accounts we store it in, and encrypting connections to our website. No method of storage or transmission is completely secure, but we take care and will tell you if a breach puts you at risk.
Your choices
Access and correction
You can ask to see the personal information we hold about you, how we have used it and who we have shared it with, and ask us to correct anything that is wrong. Email us and we will respond within 30 business days, as PIPA requires. We may need to confirm your identity first.
Cookies and ads
- Block or delete cookies in your browser settings. The site still works without them.
- Opt out of Google Analytics with the Google Analytics opt-out browser add-on.
- Manage Google ads personalization at My Ad Center.
- Manage Facebook and Instagram ad preferences in your Meta Accounts Center.
- Opt out of interest-based ads from many companies at once through the Digital Advertising Alliance of Canada.
Children
Our services are for adults booking events. We don't knowingly collect personal information from children under 13. If you believe a child has sent us their information, contact us and we will delete it.
Changes to this policy
We may update this policy as our business or the law changes. The date at the top shows when it last changed. If we make a significant change to how we use your information, we will post a notice on our website.
